BILINGUAL MEDICAL/INTAKE COORDINATOR FOR LONG TERM FOSTER CARE

Newport News, VA Newport News, VA Full-time Full-time From $25 an hour From $25 an hour EnCircle's Long Term Foster Care program is part of our Immigration and Refugee Services division.
This program is in partnership with Lutheran Immigration and Refugee Services (LIRS) and serves unaccompanied children in the custody of Office of Refugee Resettlement and are now living with foster families.
One of the primary responsibilities of this position is serving as the subject matter expert for Point Comfort Underwriter Insurance, ORR required medical and dental services, and maintaining positive working relationships with contracted providers.
This position is also responsible for reconciling and addressing all billing errors to ensure accurate billing with no profit loss.
The second primary responsibility of this position is to assist in the intake/admission and discharge of youth clients to programming.
This individual will be responsible for ensuring intake and discharge processes are streamlined and clear to all involved, while ensuring that capacity expectations are maintained.
This position is expected to function effectively with moderate supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements.

MINIMUM EDUCATION, TRAINING, REQUIREMENTS AND PREREQUISITIES High School diploma plus 3 years paid experience working with youth will be considered.
Bachelor's Degree in Human Services plus one year either paid internship or volunteer experience working with youth preferred.
At least one (1) year of experience working with medical providers, at least two (2) years of experience working with medical providers, strongly preferred.
Bilingual Spanish/English fluency required.
Prior work experience in cross-cultural settings.
Excellent verbal and written communication skills.
Trauma-informed training for serving immigrant or vulnerable populations, preferred.
Prior experience working with refugee and/or immigrant populations, preferred.
Demonstrated ability to be flexible, creative, and compassionate to meet the needs of traumatized adults and children.
Must have an ability to provide excellent and compassionate customer service.
Ability to work independently and exercise a high level of confidentiality.
Must be reliable with time sensitive deadlines and tasks.
Must be detail oriented and have effective organizational skills.
Work well under pressure and adaptable to change.
Skilled at computer literacy and typing skills including usage of computer software and Microsoft Office 365.
Exercise a high level of confidentiality.
Active motor vehicle license and a reliable automobile with adequate insurance coverage.
Pass a criminal history screen, including state and local child protection agency registries.
Must be willing and able to be on an on-call rotation and work a variable schedule including weekend and evening hours.
SPECIFIC DUTIES AND RESPONSIBILITIES Ensure effective operations through selection, training, motivation, evaluation, and development of a competent on-site medical coordination team.
Formulate treatment authorization request to Point Comfort Underwriters for unaccompanied refugee clients, as needed.
Serve as the subject matter expert of Point Comfort Underwriters Insurance Schedule and facilitate initial medical screenings, follow up visits, and any other medical/dental related appointments as required by ORR policy.
Develop, recruit, and maintain positive working relationships between contracted providers to include all health providers and related partners.
Manage and maintain the record-keeping process to ensure there is an effective filing system in which information is forwarded smoothly.
Ensure documentation and filing compliance with all required forms in accordance with the agency, state licensing, and ORR.
Effectively train staff members on documentation compliance in accordance with agency, state licensing expectations, and ORR, as needed.
Reconcile and address all billing errors to ensure accurate billing with no profit loss.
Maintain accurate, up-to-date information on foster children in care while meeting DHHS, ORR, and internal documentation and reporting requirements.
Stay abreast of all agency, federal, and state regulatory requirements related to social services; Periodically travel to health care provider facilities to build positive working relationships and transport clients.
Organize and process arranged intakes for the local site to ensure all staff, and clients are apprised of the intake process.
Complete any necessary services, reporting, and documentation for the admission and discharge processes.
Complete daily census, discharge, intake, and capacity reporting Coordinate and facilitate discharges in collaboration with case managers.
Conduct case support tasks, such as background checks, address checks, filing, information input, case noting, and coordinate information sharing.
Provide transportation for arrivals and intakes, as requested.
Meet regularly with direct supervisor to schedule and prioritize work.
Effectively track intakes and discharges.
Record and maintain accurate and up-to-date client records in collaboration with case managers.
Assist in the collection, compilation, and reporting of program outcome data.
Attend trainings as requested by supervisor.
Complete other duties as assigned.
